Our client is recognized as a leader in the production and distribution of liquefied natural gas and hydrogen throughout North America. To enhance operational efficiency, they sought to gain significant efficiencies by implementing digital solutions to automate manual processes and improve work order management for their field services.

The client’s prime objective was to streamline administrative practices and field services workflows through a comprehensive automated system. They aimed to improve their work order processes with advanced technology that is easy to use. All they needed was a system to schedule work orders for their field personnel and keep track of their work hours accurately. They also required an parts inventory management module to improve accuracy and have real-time visibility to on-hand inventory. Additionally, the client aimed to optimize resource scheduling, maintain data integrity to support their growth and scalability.

Our client had 4 major key requirements in focus for implementing digital solutions.

  1. A robust timekeeping system capable of recording the time-in and time-out of their field personnels accurately. Additionally, they needed a comprehensive time report to ensure precise payment for their services.
  2. An efficient solution to effectively track and manage parts inventory for their various assets and work orders.
  3. An automated system for work order management in order to create, track, and complete the work orders seamlessly.
  4. Access to real-time field activities and work order statuses for better decision-making.

  • The client’s entire work order process was manual, leading to delays in service delivery and reduced operational efficiency.
  • They were also facing data integrity issues since the information from the field was readily not available for management, subsequently leading to errors and inefficiencies. 
  • They lacked a system to accurately record the hours (“in” and “out” times) worked by field technicians for fair payment for their time and effort.
  • They faced inefficiencies and challenges in tracking and managing various assets and work orders as they lacked an inventory management system for field operations
  • They were not having real-time access to field information, hence facing challenges in ensuring data accuracy and availability for management decisions.

  • Introduced a user-friendly web portal and mobile app to create, track, and complete work orders seamlessly. This ensured data accuracy, resource utilization tracking, and streamlined billing processes.
  • We offered a dedicated mobile application for field personnel to facilitate smooth communication, enabling technicians to receive real-time work order notifications and access relevant customer and asset information even in offline mode. The app leveraged GPS and geofencing to enhance field operations.
  • Streamlined preventive maintenance schedules for various assets and equipment, generating system-generated work orders at defined intervals.
  • We implemented a robust parts and inventory management module, enabling the creation of different types of warehouses, item consumption tracking, and automatic notifications for low stock levels.
  • Enabled back office administrators and managers to check the status of their own equipment, service details/history and present location.
  • Provided access to a comprehensive catalog for equipment, field personnels, services, and prices, facilitating streamlined workflows and accurate data transmission through work orders.
  • Custom workflows were implemented for both back-office and field technicians, optimizing work order generation, scheduling, and completion processes.
  • Equipped back office and business managers with customizable reports (Inventory report, timekeeping report etc.) enhancing data analysis and informed decision-making.
