Introduction

The client is a specialized equipment rental and field service company serving oil and gas drilling operations, supplying company-owned rental assets and accessories to rig sites across multiple operating locations. Their operation depends on knowing exactly which asset is where, on which rig, under which agreement, and in what condition — at every stage from quote to check-in.

As the rental fleet and customer base grew, that visibility became harder to maintain. Rental agreements, service work, and asset movement were tracked in ways that didn’t connect to one another, leaving the back office without a reliable, real-time picture of asset availability or ticket status. The client needed a platform that could organize rental operations around the agreement itself — from quote through invoice — while preventing the same asset from being assigned to two jobs at once.

Challenges

  • →No safeguard against duplicate asset assignment. Without a system enforcing asset exclusivity, the same piece of rental equipment could be assigned to more than one rental agreement or sub-work order at a time, creating scheduling conflicts and site-level confusion.
  • →Ticketsweren’t organized around the rental agreement. Rental, service, check-out, and check-in activity happened without a consistent structure tying each ticket back to the agreement, customer, rig, or operating location it belonged to.
  • →No single view of activity across a rental agreement. Checking the status of every ticket related to a given customer, rig number, or site meant piecing together information from multiple places rather than seeing it on one screen.
  • →Asset and accessory historywasn’t systematically recorded. Service history, condition, and movement of assets and accessories weren’t consistently captured, making it harder to track wear, maintenance needs, and utilization over time.
  • →Administrative steps added up. Creating and managing rental agreements, work orders, and tickets involved repetitive manual tasks that consumed back-office time better spent elsewhere.
  • →Scheduling didn’t account for field personnel’s availability. There was no connection between leave status and the scheduler, so dispatchers lacked an automatic way to know which technicians were unavailable.

  • Sub-work orders for Service, Check-Out, and Check-In. Underneath each rental agreement, the team creates sub-work orders that reflect how the work actually happens, keeping service, check-out, and check-in activity organized and traceable.
  • Flexible ticketing at every level. Tickets for rental, check-out, and check-in can be created under a sub-work order or directly at the rental agreement level — and every ticket, regardless of where it’s created, rolls up for visibility on the rental agreement.
  • Built-in asset exclusivity. Once an asset is attached to a rental agreement or sub-work order, the system removes it from availability elsewhere — preventing the same equipment from being assigned to two jobs at the same time.
  • Rental asset management withfull service history. Company Assets and accessories are tracked individually, with service history maintained over time to support maintenance planning and utilization decisions.
  • Field tickets built for the field. Time stamped tickets support line items, attachments, and before-and-after photos, giving the back office a complete, visual record of the work performed at each site.
  • Smart contracts andprice books. Centralized price books and contract terms keep billing consistent and accurate across customers, assets, and rental agreements.
  • Inventory management. Accessories and equipment are tracked as inventory, giving the team visibility into stock levels alongside asset-level rental activity.
  • Scheduler connected to leave management. Field personnel apply for leave through the system; once approved, the scheduler automatically reflects their unavailability, so dispatchers aren’t assigning technicians who are out.
