Introduction

The client is a growth-oriented, multi-region energy services company that provides completion- and production-related field services to exploration & production and pipeline operators across several U.S. regions. Work is carried out across a large and growing roster of customers and job sites, using a mix of the company's own field employees and contract crews working side by side on location.

As the business expanded across regions and customers, the back office lost visibility into what was actually happening in the field. Field tickets, crew hours, and timesheets were tracked in disconnected, largely paper-based ways, and a meaningful share of the field workforce — contract personnel — had no system of their own to log hours against. The client needed a platform that could capture field activity at the source, keep hours accountable across both employee and contract crews, and move a ticket from the field to a customer-approved invoice without a multi-day lag.

Oilfield paperwork and disconnected field operations

Challenges

  • →Field tickets and work orders were disconnected. Tickets covering work performed for a customer at a given location weren't consistently tied to a corresponding work order, adding manual steps before a job could be tracked from start to finish.
  • →Contract crews had no way to log their own hours. A significant part of the field workforce — contract personnel working alongside the company's own crews — didn't log into any system, leaving supervisors to track and enter their hours after the fact, often from memory or handwritten notes.
  • →Field ticket hours and timesheet hours weren't checked against each other. Total hours reported on a field ticket and total hours submitted on that week's timesheet were tracked in separate places, with no consistent way to compare the two and catch discrepancies before a customer was billed.
  • →Ticket approval relied on manual routing. Getting a completed field ticket in front of the customer for review and sign-off was a manual, paper-driven step that added time before invoicing could begin.
  • →Documentation got lost. Paper-based processes meant field records were sometimes incomplete, delayed, or missing entirely by the time they reached the back office.
FieldEquip field ticketing software

FieldEquip deployed a mobile-first field ticketing, time management, and billing workflow configured around how the client's teams and contract crews actually work across its customers and locations.

  • Field tickets are tied directly to a work order. Creating a field ticket for a customer and location generates the corresponding work order within the same workflow, keeping every ticket connected to a job from the moment it's opened.
  • Supervisor-managed hours for crews who don't log in. For contract personnel without platform access, supervisors record and update hours directly on the field ticket, so every hour worked is captured against a specific job regardless of who performed the work.
  • Digital weekly timesheets. Field personnel and supervisors submit timesheets through the platform, giving the back-office team one place to review submitted hours instead of chasing paper.
  • Field ticket vs. timesheet reconciliation. The back-office team can compare total hours reported on a field ticket against total hours submitted on that week's timesheet, with discrepancies highlighted for review before an invoice goes out.
  • Customer review and approval built into the workflow. Completed field tickets route to the customer for review and approval within the platform, replacing manual paper routing with a digital sign-off step.
  • Per diem paid alongside timesheet-based pay. Per diem for expenses such as food and travel is calculated from submitted timesheets and paid to technicians together with their regular pay, giving the back office one consistent record instead of a separate reimbursement process.
  • Mobile-first capture across every customer and location. Field teams working across the company's full customer and site roster capture ticket data at the point of service, giving every job a single digital record from creation to close.

Result

  • Billing cycle cut from 5–7 days to same-day. Field tickets that used to take up to a week to work through paper-based review now move to invoicing the same day.
  • A single source of truth for every ticket. Every field ticket — from creation in the field through customer approval — now lives on one platform instead of being pieced together across paper records.
  • Lost documentation is no longer a risk. Paper-based gaps have been replaced by a digital record captured at the point of service.
  • Hour discrepancies are caught before invoicing. Comparing field ticket hours against timesheet hours gives the back-office team a clear, built-in check before a bill ever reaches the customer.
  • 350+ users across field and back-office teams now work from the same platform, including crews who previously had no digital footprint at all.
  • Greater accountability across employee and contract crews. Every hour worked is now tied to a job and a ticket, regardless of who performed the work.
  • A more competitive, enterprise-grade operation. Paper-based processes have given way to a fully digital, mobile-first system that supports the company's continued growth across regions.
